Does your document need witnesses, notarization, or both?
There is no single answer for every document. A document witness and a notary serve different roles. Your document may need witnesses, notarization, both, or neither, depending on the document and applicable requirements.
Ask the document preparer, receiving organization, or an attorney to clarify the requirements before booking. Barrett Remote Notary LLC can explain appointment preparation and coordinate participants, but cannot decide your document's legal requirements, choose a notarial act, or tell you to leave witness lines blank.

Remote online: $25 for one signer and one eligible electronic document through Proof. Review the online appointment requirements.
Colorado Springs mobile: starting at $50 total. This includes $15 for one eligible document plus a separate travel fee starting at $35. Review mobile appointment details.
Need witnesses? Contact us before purchasing to confirm participant arrangements, availability, location, and the complete price. Payment alone does not reserve an appointment time.
Request Appointment AvailabilityWhat is the difference between a witness and a notary?
A document witness observes the signing and signs the witness statement or designated witness line as required.
A notary checks identity and performs the requested, authorized notarial act when the applicable requirements are met. Notarization does not automatically replace a separate document-witness requirement.
Do not assume the notary can also serve as your required document witness. Clarify the document's requirements and discuss the request before arranging the appointment.
What should I confirm about witnesses?
Ask the document preparer, receiving organization, or an attorney:
- How many witnesses are required?
- Who may serve, including whether relatives or people named in the document are eligible?
- Must witnesses be physically present, or is remote participation permitted?
- What identification must each participant have?
- When and where must the signer and witnesses sign?
- Will the receiving organization accept the intended paper or electronic format?
Requirements can differ between forms. A power of attorney, travel-consent form, or other document should be reviewed on its own terms.
How are witnesses coordinated for a Proof appointment?
Tell Barrett Remote Notary about every signer and witness before purchasing. The standard $25 appointment includes one signer and one eligible electronic document; additional participants require advance coordination.
Proof handles the electronic document, identity-verification process, signing prompts, and scheduled live notary session. Follow the joining instructions provided for each participant. Forwarding your personal invitation does not automatically add another signer or witness.
An online notary appointment does not establish that remote document witnessing is permitted. The document's requirements, participant circumstances, platform capabilities, and receiving-party instructions must all be considered.
Read the Proof appointment guide before your session.
When might an in-person appointment be appropriate?
Discuss mobile service if the receiving organization requires paper documents, wet-ink signatures, or participants to attend together.
Standard mobile appointments use confirmed public meeting locations. A private home, hospital, care facility, or restricted location requires a separate availability discussion before purchase and is not automatically included.
For a mobile appointment:
- Request availability. Share the general document type, participant count, witness needs, preferred date and time, and requested public meeting area.
- Confirm the details. Agree on the location, appointment time, document needs, and complete price.
- Complete the required payments. After confirmation, purchase the $15 mobile notarial service and the applicable travel fee, starting at $35.
- Attend the confirmed appointment. Bring the complete document, identification, required signers, and any required witnesses.
Additional documents and separately requested non-notarial services require advance review. Applicable charges will be disclosed and itemized before the appointment.
What should everyone prepare?
- The complete document and receiving organization's instructions.
- Original, valid government-issued photo identification for each signer, plus any identification required for witnesses.
- All required participants and confirmed witness arrangements.
- The appointment confirmation, including the correct time zone or public meeting address.
- For online appointments, a compatible device, working camera and microphone, reliable internet, and access to the invitation email.
Keep the document unsigned unless specifically instructed otherwise. For online appointments, provide your final unsigned electronic document at least four hours ahead using the delivery instructions supplied when scheduling.
Use the public contact form for general appointment information. Keep sensitive document contents, identification images and numbers, Social Security numbers, and financial or medical information out of public forms and social messages. Complete identity checks inside Proof.
Can the signer be outside Colorado?
The Colorado notary must be physically in Colorado during the remote notarization. A signer elsewhere may qualify when the document, identification, platform, legal, and receiving-party requirements are satisfied. Requests involving a signer outside the United States require advance review.
Colorado remote notarizations require an audio-video recording that is securely retained for ten years. The notary must obtain the required express consent to recording and storage. Review the Colorado Secretary of State's remote notarization FAQs.
Common witness and appointment questions
Can Barrett Remote Notary provide a witness?
Clients should arrange required witnesses unless another arrangement has been expressly confirmed. Contact us before purchasing to discuss your request. Witness availability and suitability are not guaranteed.
Can a family member be my witness?
Do not assume a relative is eligible. Ask the document preparer, receiving organization, or an attorney to confirm who may serve for your particular document.
What if I have already signed?
Contact us before booking. Whether the appointment can proceed depends on the requested notarial act and the document's requirements. Do not alter or replace signatures without appropriate instructions.
Are same-day, evening, or weekend appointments available?
Ask about availability before purchasing, especially if you have a deadline. A payment does not guarantee a particular date or time.
Does paying guarantee notarization or acceptance?
No. The appointment can proceed only when the applicable requirements are met. Receiving-party acceptance must be confirmed separately. Review the Refund and Cancellation Policy before purchasing.
