Your online notary appointment, explained.

Your appointment takes place inside Proof, not Zoom. Proof brings identity checks, your document, electronic signing, and a live video meeting together in one place.

Use the specific Proof invitation sent for your Barrett Remote Notary appointment. A calendar reminder alone is not your signing link.

Before your appointment

  • Send your final document at least 4 hours ahead. Use the document-delivery instructions provided when scheduling. We need time to prepare it in Proof before sending your signing invitation.
  • Have your original, unexpired government-issued photo ID ready. Contact us beforehand if you are unsure whether your ID will work.
  • Prepare your device. Have a camera, microphone, sound, reliable internet, and access to the email receiving your invitation. A larger screen can make reviewing documents easier.
  • Choose a quiet, well-lit place. Charge your device and place your ID nearby. Close other video-call apps before starting.
  • Tell us about everyone involved. Additional signers, witnesses, accessibility needs, and signing from outside the United States require advance coordination.

Keep the document unsigned until instructed. Confirm your appointment time and time zone in your confirmation message.

What happens next?

  1. Open your Proof invitation. Follow the timing instructions in your appointment confirmation. If you cannot find it, check spam and contact us before your appointment.
  2. Follow the setup prompts. Complete any account or access steps shown, and allow camera and microphone access when prompted.
  3. Complete identity verification. Follow Proof's prompts for personal details, identity questions, and ID photos. The exact screens can vary. Enter sensitive verification information only inside Proof.
  4. Meet with your notary and sign. Continue through the prompts to join the scheduled session. Your notary will explain where and when to sign electronically.
  5. Save the completed document. Follow the completion instructions to access and download it. Keep the original electronic file and follow the recipient's delivery instructions.

Common questions

Can we use Zoom, FaceTime, or a regular video call?

No. Your Barrett Remote Notary appointment is completed through Proof. Open the invitation we send for your signing session.

Do I need to download something or create an account?

Start with your invitation link and follow the access instructions shown for your device. Do not create a separate notarization request. If Proof asks you to sign in or set up access, use the email associated with your invitation.

Can I use my phone?

Have your phone ready if that is your preferred device, and follow the invitation's device prompts. A computer or tablet with a larger screen may be easier for longer documents. Tell us in advance if you only have a phone so we can help you prepare.

Why does Proof ask personal identity questions?

Identity verification helps confirm that the person signing is you. The video's verification example uses birth date, the last four digits of a Social Security number, and a current or recent U.S. address. Contact us before your appointment if you cannot complete that process or have different identification circumstances.

Should I email my Social Security number or a photo of my ID?

No. Do not send sensitive identity-verification information through email or our general contact form. Follow Proof's identity-check prompts inside your transaction.

What if my ID photo or verification does not work?

For photos, clean the camera lens, use even lighting, avoid glare, and keep all edges of the ID visible. Follow any retry instructions. If verification still fails, stop and contact us or Proof support. We cannot bypass required identity checks.

What if the camera or microphone does not work?

Check that your device and browser allow camera and microphone access. Close apps that might be using them, check your sound, and confirm your internet connection. If the problem continues, contact us and use the Proof Help Center.

What if I lose the connection?

Reopen your original invitation and follow the prompts to return. Contact us if you cannot reconnect. Do not start a new paid request to troubleshoot the existing appointment.

Can someone else join or act as a witness?

Tell us before the appointment. We need to coordinate each participant's role and joining instructions. Do not assume that forwarding your personal invitation will add another signer or witness.

Is the session recorded?

Yes. Colorado remote notarization requires an audio-video recording. You must agree to recording for the remote notarization to proceed. See the Colorado Secretary of State's remote notarization FAQs.

What if I am outside the United States?

Contact us before booking with your physical location and a general description of your document. International appointments require advance eligibility and identification review.

What if Proof asks for payment after I already paid?

Contact Barrett Remote Notary before making another payment. We will check your booking and transaction setup with you.

Will I need to print the document?

Your electronic signing happens inside Proof. Ask the organization receiving your completed document which format it needs, and retain the downloaded electronic original.
